MailerHub: Forms & Email Setup

Capture leads from your website forms and send notifications and auto-replies from your own email address.

MailerHub receives form submissions from your website, stores them as leads, emails your team and can auto-reply to the visitor.

1. Add your website

Open Websites (also linked from the MailerHub tabs) and add the domain your form lives on, e.g. acme.com. Only that website, and its www. version, can submit your forms. Websites belong to the organisation you have selected.

2. Create a form

In MailerHub → Forms → Create, pick the website, define the fields, add the emails to notify and choose whether to auto-reply. Turning on CAPTCHA (hCaptcha, reCAPTCHA or Cloudflare Turnstile) is strongly recommended.

3. Copy the code onto your site

Open the form and press Get embed code. Copy the All-in-one tab and paste it where the form should appear, or use the separate HTML, CSS and JS tabs. No API key step is needed: the code already carries your website's public key, and includes labels, validation, a spam trap and success/error messages. The HTML looks like this:

<form id="leaps-form-FORM_ID" class="leaps-form" method="post">
  <div class="leaps-form__field">
    <label class="leaps-form__label" for="leaps-form-FORM_ID-f0">Full Name</label>
    <input class="leaps-form__input" id="leaps-form-FORM_ID-f0" name="name" type="text" required>
  </div>
  <!-- …one block per field, plus a hidden spam trap and CAPTCHA if enabled… -->
  <button type="submit" class="leaps-form__submit">Send</button>
  <p class="leaps-form__status" role="status" aria-live="polite"></p>
</form>

To match your brand, change the --leaps-accent and --leaps-radius CSS variables.

Sending from your own server instead? Create a key in MailerHub → API Keys and post JSON:

POST https://YOUR-LEAPS-DOMAIN/api/v1/submit/FORM_ID
X-API-Key: YOUR_API_KEY
Content-Type: application/json

{ "name": "Priya", "email": "priya@example.com", "message": "Hi!" }

4. Receive leads

Every submission is saved under MailerHub → Leads, where you can filter by website, form, date or text and export to CSV. Your team gets an email for each lead (replying goes straight to the visitor) and, if enabled, the visitor gets an auto-reply.

5. Send from your own email (optional)

  • Default: emails go through Leaps' mail server with no setup. Lead notifications reply straight to the visitor; auto-replies reply to you.
  • Your own SMTP: open MailerHub → Email Settings (one setting per organisation), pick your provider (Gmail/Google Workspace, Zoho, Microsoft 365, Hostinger, Amazon SES, Brevo, SendGrid or any SMTP server), enter the host, port and login, save, and press Send test email. Once it passes, switch on Send with my SMTP on each form.

Gmail, Zoho and Microsoft need an app password, not your normal password. Your password is encrypted before it is stored. If your server ever fails, MailerHub sends through Leaps instead so no lead notification is lost.

6. Land in the inbox

  • Send from an address on your own domain with SPF, DKIM and DMARC records set up.
  • The From email must be the mailbox you log in with, or a verified alias.
  • Every auto-reply includes an unsubscribe link automatically.
